POSITION SUMMARY

Reporting to the Chief Executive Officer, primary function is to provide advanced administrative support to help ensure the smooth operations of the Executive Office. Communicates and handles information to and from parent company of the highest confidentiality, only available to CEO. Performs administrative and office support activities to ensure efficient operation of the office. Provide support for managers and employees through a variety of tasks related to organization and communication. Communicate via phone and email ensuring that all administration tasks are completed accurately and delivered with high quality and in a timely manner. Duties include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Extensive software skills are required, as well as Internet research abilities and strong communication skills. 

PRINCIPAL TASKS

Direct responsibility for meeting minutes at President's Staff, Manager, SRNA Executive Committee, SRNA Town Hall and ensures required follow-up is completed.  Manage multiple schedules and travel plans, maintain appointment schedules and calendars, and arrange meetings/conferences for the EC members. Perform advanced and confidential administrative duties as required by daily office operations. Uses discretion in answering and screening telephone calls. Greets internal and external customers; handle inquiries and prioritize conflicting needs and handle urgent matters expeditiously. Create Excel spreadsheets and PowerPoint presentations as assigned by President/CEO.  Process expense reports for Executives.  Contact outside organizations for necessary communication, meeting scheduling, and event scheduling. Communication with parent company in Japan (SRI) with event planning.  Deliver important messages/information from parent company (SRI) timely and maintains confidentiality in all matters to Executives. Prepare internal/external meetings for executives including office activities.  Manage multiple schedules and travel plans.  Provide support for meetings, activities, and schedules held with executives from SRI.  Provide event support when is necessary for Japanese executives.  Perform a variety of highly confidential and complex administrative duties, such as meeting preparation (meeting minutes, schedule, booking meeting room and prepare necessary information for the meeting, research, etc.). MINIMUM QUALIFICATIONS

Minimum Five (5) years of C-level office administration, experience in the area of task assignment. A Bachelor's Degree in Business Administration from an accredited University or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job. Must be proficient in MS Office (Word, Excel, PowerPoint and Outlook).  Must be detailed oriented and self motivated, displaying a high level of professionalism at all times.  Knowledge of office management systems and procedures. Excellent time management skills and ability to multi-task and prioritize work. Must have business writing capabilities, coupled with a basic knowledge of finance, think critically, and apply problem solving techniques to any situation. Must have strong organizational and planning skills. Must be willing to travel up to 10% of the time. Must be able to stand, sit, move, and use fingers for extended periods of time.  May require walking primarily on a level surface, reaching above shoulder heights and below the waist, as well as lifting up to 25 pounds for files and computer printouts. The work environment is typical of an office environment where the air is controlled and kept at mild temperatures.  The work environment also consists of routine travel involving planes, cars, outdoor motorsport venues, entertainment facilities, restaurants, sports environments and office environment.
